How to email a page or any work item (project, task, approval, request, etc.) in PI to another user using the Email Page tool.
Transcript:
Hi! Today we're going to talk about an often overlooked feature in Project Insight: how to send a page in Project Insight via email. From Project Insight, virtually everywhere that you see the Tools menu, you can send an entire page, task, project, or anything you're looking at in the application as an email to someone in your organization. You just need to find the icon that indicates the Tools menu. When you click there, you'll see the option to email the page.
Here I am on a project for Global X. I would like to send someone this project task list for their client implementation, so I click on Tools and hit "Email Page." From there, I'm taken to a screen where I can actually compose an email. Just before you even get started, you need to know that you can compose that email right from Project Insight or from an email client, and we can go through both options.
First of all, you'll want to select the user in your system that you want to email it to. Let's choose Steve. You can CC someone or BCC someone, and you can leave the subject as the name of the page or task you are on. In this case, it happens to be the project. I'm going to make a note that this is a test email so that this person doesn't think I am actually emailing them about this. You could change the subject to anything you like, such as "Urgent" or "Needs Review," etc. Then you can write a note if you'd like. I'll just say, "Dear Steve, how can we help this client?" Then I can choose to send it right off, and it will go from Project Insight.
I can also click "Send from Email Client," and then you'll see that it's going to launch my Outlook, which I have available to me right now. From there, you can see it's already selected Steve at his address. It retains the subject I had already plugged in and the text from the Project Insight workspace. I can go ahead and hit "Send," and then I stay in Outlook. Otherwise, you can close your Outlook screen and go right back to the application. For whatever reason, maybe you need to connect something to Salesforce or there’s another reason to use your Outlook for other connectors, you can still send it right from Project Insight, which is just as useful.
As a reminder, the place to do that is from any project, or let's just go to a task. You can see the Tools menu again, and you could email that task page to someone, or maybe it's a timesheet or something else, an approval, a proposal, whatever you'd like. As soon as you find the Tools menu and select "Email Page," you can send that page to someone for review. Thanks a lot!
