In this video, we will talk about the project closeout options underneath the Projects and Tasks Configuration add-on. Let's start by going down to the project close options, which pertain specifically to archiving a project.
The first checkbox will force all tasks on the project to be 100% complete in order for the project to be archived. If I go ahead and check this box and then try to archive a project that has tasks that are not yet 100% complete, the system is going to give you a message that says, "This project has X number of tasks that must be done or 100% complete to archive." If you actually click this message, it will take you back to the task list and tell you which ones you need to complete.
The second checkbox will require all items that are not tasks to be closed in order to archive the project. Items like issues, proposals, to-dos, or anything that's related to the project must be addressed.
The third checkbox will allow project managers (PMs) to still make edits to the project after it is archived. Otherwise, an admin will have to unarchive the project for anyone to edit it.
This field will direct where you want the project to move after the archiving has taken place. By default, the project will move to the archived folder, but you can also choose another folder for it to go to if you prefer.
This fourth checkbox will enable the PM to choose a different location other than the archived folder when archiving the project.
The last checkbox has to do with permissions. If I enable it, then the newly archived project will inherit the permissions of the archived folder after the project has been archived.
This has been an overview of what the options are for project closeout underneath the Projects and Tasks Configuration. For more information about the other subsections of the Projects and Tasks add-on in general, please see their specific videos.
