Transcript:
In today's video, we are going to be talking about how work status is automatically calculated in Project Insight using the completion percent of a given summary task. To begin, you're going to want to make sure that you have the work status add-on installed. Click "Configure," and we will keep this open for later. I'm going to navigate to the project of my choice, so I'll launch it, and then from there, I'm going to navigate to the task list.
Now that we're on the task list, we're going to right-click on "Work Status" and click "Insert." We will search for "Percent Completion" and add the column. This will show us the completion percent of a given task. Moving back to the work status page, we can see that different completion percents will determine the status of a task. As you can see, the threshold for "Started" is 25%, for "In Progress" is 50%, for "Almost Done" is 75%, and "Done" is 100%.
Let's see this in action. As you can see, the email drip summary task has a total of 50 work hours. To calculate the different completion percents we need, we can whip out our calculator. All right, let's multiply 50 by 0.25 to see the amount of hours it takes for the work status to display as "Started." So, 12.5 hours out of this task list means that if we say "Make Client Changes" is done and that is 100% complete, which is 8 hours, this is over the 25% threshold. You'll see that the summary task work status will change to "Started."
Work status based on percent completion doesn't just work for summary tasks, though. Say we have "Edit." We can change the completion percent to 50%, which should change the task work schedule to "In Progress." So, let's click it, and we can see that it has changed to "In Progress." That's how work status is automatically calculated for summary tasks based on the completion percent of the tasks under said summary task.
