Overview of how to use Capacity Percent from a User's Profile in Project Insight. The Capacity Percent is the main value you will use for checking overallocation in Allocation reporting.

In today's video, we'll be talking about the capacity percent field under the resource info section of a user's profile. In order to see the capacity percent field, you will need to have the capacity and resource allocation add-on installed, as well as having the option to edit individual users' capacity percents. Capacity percent is a threshold for overallocation of resources and essentially drives the red indicator in allocation reports. In today's example, we'll see how capacity percent compares to percent allocation default and utilization percent in a report. As you can see, my utilization percent is 50, and my percent allocation default is also 50, whereas my capacity percent is 100. Now, let's navigate to our report. We can see that my capacity is 40 hours, which is 100%, as 40 hours is the default work week. However, my target utilization is 20 hours, as it was set to 50% on my profile. If we look at John Doe's profile, we can see that his capacity is 20 hours and his target utilization is 40 hours. If we examine his profile, we can see that his capacity percent is 50%, and both his percent allocation and utilization percent are 100%, which is the opposite of mine. This leads to his capacity, which is 50%, being 20 hours, while his target utilization, which is 100%, is 40 hours. We can see that in the John Doe example, even though his target utilization is 40 hours and his work hours total 68 hours, he is still 48 hours over capacity. This is because overallocation or overcapacity work hours is not calculated based on target utilization. Target utilization is used for comparison, whereas capacity is what the hours are actually calculated based on. Now, if we go to John Doe's profile and leave the capacity percent field blank, then click save, the system will use the default value provided in the resource allocation configuration page. To access this, you'll navigate to the My Insight menu, go to Add-ons, select the capacity and resource allocation add-on, click Configure, and you'll see the capacity percent default. That is where you change that field.
