Running large reports with several hundred lines of data may take a long time to display in a browser. If the report is thousands of lines long, it may not display at all. Unlike spreadsheets and PDF viewers, browsers were not designed to display huge lists of data on a single page. Exporting the report directly to Excel is usually the best way to run these reports with large data sets:
- Run a much shorter report to get the filtering options mostly correct. For example, run a one day time entry report instead of one month
- Display this report and marvel at its shortness
- Open the Page Display Filtering Options again
- Change the filter to open it up to your larger range, but do NOT run the report
- Mouse over the Run Report button to select from the Export and Save options
- Use the Export to Excel option just as you would if you had run the report
- The output of the data to Excel will be the same as it would be if you had run the report, but you bypassed the display output to the browser
- Save the report in Project Insight, even though you don't see the data in the browser, and the report will save with the selections you used in your Excel export
Now you can output your saved report from the report interface directly to Excel each time you need it. You can use the Export to Excel option in the My Saved Reports interface for the respective report. In the example of a time entry report, you will go to the reports, select the Time Entry tab and open the My Saved Reports from within that tab. Rolling your mouse over the report will expose a set of icons to the right of the report which include the Export options.
