In this video, I'm going to explain how to change the working times for your default work schedule or any work schedule in Project Insight. First, click on the "Add-ons" and then you'll need to install the "Work Schedules" add-on. If you already have it installed, like I do, you can simply type it in and go to the "Work Schedules."
Now, I'm going to change my default work schedule of the week. You'll be taken to the calendar of holidays, but I want to go to my default workdays. From here, you can adjust the schedule. For example, Monday is set from 8:00 AM to 12:00 PM and 1:00 PM to 5:00 PM. Let's say I don't want to work Fridays; I can mark it as a non-working day or change the times. That's how you would adjust the default work schedule.
Additionally, you can add an alternative schedule. Let's say that in November we will work a little differently and change our schedule. You can even set an expiration on that schedule. Some people use this for holidays or summer schedules, but I’ll show you how it would work in November. Let's say we are going to start a new schedule, but we're not going to work on Fridays anymore until the beginning of the year. You would just go in and set this alternative schedule from November 1st through the 31st or the 3rd of January. Then, on the 4th, we will start working Fridays again.
The system will allow you to make these changes. You’ll see that from November 1st to November 13th, we have a different schedule. What's great is that the system will know that tasks created before then will function Monday through Friday, but anything that starts or happens from November 14th to November 13th will skip over those Fridays because of this alternative schedule that occurs between these two dates.
This feature is particularly useful for a summer schedule or for individual work schedules. This is the same interface you'll see for individuals managing their own personal work schedules. So, that’s how you can change the default working days on any calendar schedule.
By the way, you can also test your dates here as well. For example, after November 4th, even though Friday is not working, Thursday is a working day. You can test a date; let's say before November 4th. On that day, Friday is still a working day, set as a default Friday for 8 hours. There’s a handy date tester here to help you understand what you’re doing as you adjust these default settings.
