Overview of how to create an new and organize Custom Items in Project Insight.
Transcript:
Today, we are going to talk about custom items in Project Insight. Custom items, or custom forms, can be used in place of any pre-existing Word or Excel documents you already have in use in your process. More specifically, they are used for creating forms that do not fall within the Project Insight task or project scope, or for something that falls under the task or project scope but for which you want your own form.
To begin, if you already have the custom items add-on installed, you can click on "Admin." However, if it's not installed, you'll need to click on "Add-ons." Once on the installed add-ons screen, make sure that you have already installed the custom fields add-on. Without the custom fields add-on, the custom items add-on will not be able to be installed. Click on "Get More Add-Ons" and search for "Custom Items." Click on "Custom Items" and then click "Install Now."
To navigate to custom items, click on "Admin," and under the left sidebar, you will see "Custom Items." To create a custom item, simply click "Add Custom Item." This will bring you to the custom items edition screen. Today, we are going to create a change order custom item, as this does not come with Project Insight by default. The name will be "Change Order," and the plural name will be "Change Orders." The parent item type will be "Project," as change orders are generally associated with a project. You'll want to enable it as a list in the views menu for the project because you'll want to see multiple change orders. For the icon, we’ll use the suitcase. Make sure that the item is active; otherwise, it will not show up. Click "Save," and now you can see that we have our change order custom item.
Now, by clicking on it, you'll see all the custom fields associated with the change order. To learn more about adding custom fields, you can check our custom fields documentation. Now, navigate into our projects and click on any project. If you click on "Views," you can see our change order list. We can add a new change order, give it a name, and our change order is created.
Going back to the custom item screen, if we want to edit our change order, we can either click the three buttons and then click "Edit," or we can click on our change order and then click the edit button next to "Custom Field." An important note: If a custom item has forms built off of it in your system and you try to delete it, you will not be able to do so. And that's all you need to know to make, edit, and access a basic custom item in Project Insight.
