Today, we are going to be talking about the Task Affiliation custom field in Project Insight. The Task Affiliation field allows you to link an item to a task when filling out the item. This feature is useful because when creating reports on the item, you can effectively filter which tasks are associated with which items.
In this video, we will be using the Task Affiliation field on a custom item. However, because we are using a custom item in today's video, to follow the steps illustrated, you will need both the Custom Fields and Custom Items add-ons. For more information on these add-ons, including how to install them, you can find the resources on this channel or from the Project Insight Help Desk website.
To begin, we'll click on "Add-ons." From Installed Add-ons, we'll go down to Custom Items and click "Configure." Once on the Customization Administration page, we'll click on the item that we want to modify. Once on the Custom Field screen for your item, you'll need to add two custom fields. The first is the Project Affiliation field, which will be the parent item to the Task Affiliation field. This defines what project the Task Affiliation field will pull its tasks from. The reason for this is that in your system, you'll probably have a lot of projects and many tasks associated with those projects. Therefore, it is easier to choose tasks from a single project rather than all of the projects that you have in your system.
The second field is the Task Affiliation field, which defines what specific task the item is associated with. So, we'll click "Plus Custom Field." The field name can be anything you want, but for this, we'll use "Project." The input control must be a Project Affiliation selector. Click "Save." For your next custom field, we'll call this "Task," but once again, it can be called anything you want. The input control has to be a Task Affiliation selector, and for the parent combo box, you'll use the Project Affiliation field that you made earlier. Click "Save."
Now, I'll show you how the Task Affiliation selector looks when filling out a form. I’m going to navigate to my software project, click "Add," go down to "Risk," and I'll name it "Risk One." As you can see, the project is automatically selected as "Software," since this is the project I'm creating the form from. For the task, I'll choose "UID Dev." I'll click "Save," then click back on the form. Once filled out, you can see that this risk is associated with the UID Dev task. That’s how to use the Task Affiliation custom field in Project Insight.
