This is a video that demonstrates how to delete, edit or resubmit a Time Sheet in a workspace that is utilizing either 1-Tier or 2-Tier methodologies in Project Insight.
Transcript:
This is a tutorial that demonstrates how to resubmit and/or edit a time sheet when your team is utilizing the one or two-tier time sheet submission methodologies. A typical use case in a scenario like this would be when an individual has submitted a time sheet and needs to make edits to it. If you have any questions regarding the methodology that you or your team are utilizing, you can ask any of your admins, and they will have access to information on those methodologies.
In this scenario, we are impersonating Allis, who has submitted his time sheet already for approval. As you can see here in his time home, it is already checked off as submitted. If Valaris were to go in and look at his time sheet, you can see that he cannot make any changes to that time sheet. Therefore, what we need to do in this situation is escalate the changes that need to be made to the time sheet approvers.
This request will go to the final approver, who will need to make it re-available for Allis to make those changes. Over here in the workspace being utilized by Draven, you can see that Allis's time sheet has already been submitted and approved for the week of the 22nd through the 28th. If we click on that week under the name category, you can see Allis's time sheet displayed in the time sheet queue.
In order to make these changes, we need to resubmit this time sheet. So, if we go over here under "AK," which shows the initials of the individual who submitted the time sheet, and hit "resubmit time sheet," you will see that the time sheet has already been submitted for approval previously. It then provides you with instructions on how to resubmit the time sheet. However, what we want is for the approver to send the approval back to Draven, in whose workspace we are currently situated, so we're going to go ahead and hit "submit."
This action will now release this for edits, where I can either approve or reject it again, but what we're actually going to do is delete this time sheet. As a note, deleting this time sheet will not remove it entirely; instead, it will delete it from Draven's queue and send it back to Allis for edits. I will go ahead and hit "okay." Now, if we go back into Allis's time home, you can see that the time sheet has been re-released, and we now have the option to submit it. However, we are going to go into this time sheet and make those edits.
We will navigate to the time entry grid and select "add time." Now, we are going to focus on the week of the 22nd through the 28th, which is displayed here, and we need to add one hour to Monday, the 23rd. Let's go ahead and make that update by applying the default time code and adding that time.
Now that the time has been updated, we will resubmit this time sheet. Please select "submit the time sheet." When the time sheet is submitted, it will provide the option for an approver. Most teams will only have one option here, so we will go ahead and select Draven, who we know is the approver, and submit that time sheet on behalf of Allis with the edits made in it. You will receive a message stating that your time sheet has been successfully submitted; please hit "okay."
As we navigate back over to Draven's workspace, you can see under "time sheets requiring my approval" that Allis's time sheet, with the updated one-hour change, is now available for pending approval. This indicates that Kate Neelon, the project manager, needs to go ahead and approve this time sheet in order for it to move on to Draven for final approval.
If we navigate through Kate's workspace and go into "time" and then select "your time sheet PM approvals," you will see that Kate needs to approve this time sheet that is currently pending. Therefore, we will enter it, view it, and she will now be able to approve it. This time sheet has now been approved and is pending the final approval by Draven.
Returning to Draven's workspace, you can see that it is approved by Kate. We are now going back into the time sheet to review it and ensure that everything looks okay. Draven will now approve this time sheet, marking the final submission for this time sheet.
This tutorial has walked you through the process of making edits or changes to a time sheet that has been submitted, utilizing the one or two-tier time sheet submission methodologies.
