The Assignment Board is a simple yet effective way to manage your resources by task. This project view lets you see all of the resources on a project and move task tiles to any available resource shown on the board.
The Assignment Board is especially helpful when project managers need to assign or reassign work at the beginning of a project, balance assignments across resources, or move tasks from one resource to another without opening each task individually.
What is the Assignment Board?
The Assignment Board is a visual project view that shows task assignments by resource. Each resource appears as a column across the top of the board, and the task tiles in that column show the work currently assigned to that resource.
Because each column represents a resource, the task tiles do not need to show the resource name. You can quickly see which tasks belong to each person or resource by looking at the column where the task appears.
As a simplified view, the Assignment Board makes it easy to move tasks to another available resource. However, this view only allows you to move the task tile to change the task owner. It does not update other resources assigned to a single task. To edit non-task owner resources on a task, open and edit the task itself.
When should you use the Assignment Board?
Use the Assignment Board when you need a fast way to review or change task ownership across project resources.
This view is useful when:
- A project is starting and tasks still need owners
- Tasks need to be reassigned from one resource to another
- A project manager wants to balance work across the team
- Placeholder resources are being replaced with named resources
- You want to review assignments visually instead of using the task list
- You need to review assignments across one or more projects
How to filter the Assignment Board
Similar to other project board views in Project Insight, the Assignment Board includes filter options that let you control what appears on the board.
Depending on your setup, you can filter by:
- Users
- Departments
- Resource types
- Placeholder resources
- Tasks starting within a selected number of days
- Additional projects
- Project grouping
- Task levels
These filters help you tailor the Assignment Board to the way your organization manages work. For example, you may want to view only one department, one resource type, or tasks that are starting soon.
How to reassign a task on the Assignment Board
To reassign a task owner from the Assignment Board:
- Open the project.
- Switch to the Assignment Board view.
- Find the task tile you want to move.
- Drag the task tile from the current resource column to the new resource column.
- Drop the task tile into the new resource’s column.
Project Insight updates the task owner based on where you move the task tile. For example, if a task is assigned to Emily and you drag it into Kendall’s column, Kendall becomes the new task owner.
How to confirm the reassignment
After moving a task on the Assignment Board, you can return to the task list view to confirm the change.
The task list will show the updated task owner. In the video example, the task Customer Admin Training was moved from Emily to Kendall, and Kendall became the new resource assigned as the task owner.
Don't See the Assignment Board Option?
The Assignment Board, also referred to as a Kanban, is defaulted to be visible under the Resources view of a project.
If you don't see the Assignment Board, check to see if it's been installed in the Projects and Tasks Add-ons in the Administration section. When installed, you can configure the option to enable the Assignment Board to be visible or not to appear when unchecked.
Why the Assignment Board is useful
The Assignment Board gives project managers a fast, visual way to manage task ownership without editing each task one at a time.
Instead of opening each task individually, you can review the assignment layout, identify where work needs to move, and drag task tiles to the right resource.
This helps teams keep project assignments clear, especially when project plans change or when task ownership is being assigned for the first time.
