Note: The Capacity And Resource Allocation Add-On must be enabled to use the Resource Allocation Home page.
The Resource Allocation Home page gives resource managers, project managers, and PMO leaders a high-level view of team allocation across projects. It extends the My Allocation page by showing broader team capacity, resource availability, and workload patterns in one place.
Use this page to quickly see which resources are overloaded, which resources may be available for more work, and where you may need to adjust assignments or create a more detailed allocation report.
What Is The Resource Allocation Home Page?
The Resource Allocation Home page is a central resource planning view in Project Insight.
It helps you review team allocation by portfolio, month, resource, and resource type. Instead of opening individual projects one at a time, you can use Resource Allocation Home to see workload trends across multiple projects and resources.
This is useful when you need to answer questions like:
- Who is overloaded?
- Who has room for more work?
- What does team allocation look like by month?
- Are planning-stage projects affecting future capacity?
- Do I need to run a more detailed resource allocation report?
What am I looking at?
The Resource Allocation Home page starts with a portfolio view by month (above).
This gives you a monthly view of resource allocation across the selected project set. From here, you can review allocation patterns and identify workload pressure across the team.
How Do You Include Active, Planning, Or Archived Projects?
Use the Tools option in the top-right corner of the page to choose which project types should be included.
You can include:
- Active Projects
- Planning Projects
- Archived Projects
Including planning projects can be especially helpful when you want to understand future demand before work is approved or fully staffed.
Including archived projects is less common, but may be useful when reviewing historical allocation or comparing past workload trends.
How Do You View Allocation By Resource Or Resource Type?
The Resource Allocation Home page allows you to toggle between:
- All Resources
- Resource Type
Use All Resources when you want to review individual people.
Use Resource Type when you want to understand demand by role, department, or resource category, depending on how your workspace is configured.
This helps you see both named resource availability and broader capacity needs by type.
How Do You Find The Busiest And Most Available Resources?
You can switch between views for your Busiest Resources and Most Available Resources.
Use Busiest Resources to identify people who may be overloaded or close to capacity.
Use Most Available Resources to find people who may have room for more assignments.
This makes it easier to balance work before deadlines slip or team members become overburdened.
How Do You Create Allocation Reports From This Page?
The Resource Allocation Home page also lets you create Allocation Reports directly from the same area.
Use this when the high-level view shows a capacity concern and you need more detail.
For example, you may start on Resource Allocation Home to identify an overloaded resource, then create a Resource Allocation Report to review the specific projects, tasks, and time periods contributing to the overload.
When To Use Resource Allocation Home
Use Resource Allocation Home when you need a high-level view of team workload across projects.
It is especially helpful when you need to:
- Review team allocation by month
- Identify overloaded resources
- Find resources who may be available for more work
- Compare allocation across resources or resource types
- Include planning projects in future capacity review
- Create resource allocation reports from one central page
- Support weekly resource planning or PMO staffing meetings
Best Practices
- Review Resource Allocation Home regularly, especially before assigning new work.
- Include planning projects when forecasting future demand.
- Use Resource Type views to identify role-level capacity gaps.
- Check both Busiest Resources and Most Available Resources before reassigning work.
- Create a detailed allocation report when you need to investigate a specific resource, project, or date range.
- Use this page as a starting point for capacity planning, then drill into reports when more detail is needed.
Common Mistakes To Avoid
- Reviewing only active projects when planning-stage work may affect future capacity.
- Looking only at individual resources instead of also reviewing resource types.
- Assuming the busiest person is the best person for more related work.
- Ignoring available resources who may be able to take on assignments.
- Not creating a detailed allocation report when the home view shows a possible overload issue.
Why Don’t I See Resource Allocation?
If you do not see Resource Allocation Home menu, the Capacity And Resource Allocation Add-On may not be enabled, or your permissions may not allow access to this page.
Check with your Project Insight administrator, or review the related article about enabling or accessing the Resource Allocation Home page.
