After following the detailed instructions for the integration, you may find that not everything works as planned because of some easy-to-fix configuration details that are often easy to identify. There are some common issues with the integration errors.
- Company naming syntax
- Accounts receivable links
Company Naming Syntax
An easy way to check this is to look at your list of Companies with the column “Links” to see if it has a value or if it’s null. The link is used for the integration, so a null value is an easy way to determine that QuickBooks and PI do not have the Company/Account linked.
We can see below that neither company has a link, so QuickBooks is not connected to these companies.
This is an easy, quick check to make sure the link is not null, but an existing link may not always be for QuickBooks. If you still have a problem with a Company that has a link, look at the Company detail page and use the LINKS tab. To see more detail about any links to that company.
A QuickBooks link should have an “External Map Name” which reads “PI Integration for QuickBooks Desktop” to confirm that it is a link for QuickBooks and not some other integration.
Synching the accounts by name the first time must be very exact. Commas, ampersands and spaces are all easily overlooked problems that must be fixed to get that integration link.
Accounts Receivable Links
Just as the Company syntax must be exact, the “Custom Code” of the "Time Codes” must also be exact. It is not uncommon to find spaces or incorrect syntax when these codes do not work. The following syntax is common for a Custom Code mapping to income accounts in QuickBooks.
599745:780043|Professional Services:Hourly Charge
It is common to find very small differences that are not initially obvious. For example, a space before or after the pipe (|) symbol is often difficult to spot and will cause a mismatch. On this topic it is best to go back to the full instructions for mapping codes and make sure you have followed those instructions while checking for typographical errors.
PI can help troubleshoot these issues by running through your process with you and reading more detailed errors. If the issues addressed in this troubleshooting are not working be sure to contact us for an appointment to run through the testing with you and keep your QuickBooks integration moving.
