The File Report shows files uploaded to Project Insight. You can use it to find files by date, keyword, user, file type, folder, size, or version-control status. You can also select files from the report and download them in bulk.
Open the File Report
- Open the Reports menu.
- Select the File Report.
- Choose the filters and columns you want to include.
- Click Run Report.
Filter files by date
Use the date filters to find files based on when they were added or changed.
- Created On filters files by the date they were uploaded or created in Project Insight.
- Updated On filters files by the date they were last changed.
Search by keyword
Use the Keywords filter to return files containing the entered words in searchable file information, such as the file name or other indexed fields.

Filter files by user
Use the user filters to find files based on the person who created or most recently updated them.
- Created By returns files added by the selected user.
- Updated By returns files last updated by the selected user.
Each dropdown contains Project Insight users available to you.

Filter by file details
File type
Use File Type to limit the report to a particular file extension or format, such as DOC, XLS, PDF, or another available type.
Parent item
Use Parent Item to find files stored under a specific folder or item.
Depending on the option selected, you can include only files directly under the selected parent or also include files stored in its child folders or items.
File size
Use the Size filters to enter a minimum file size, maximum file size, or both.

Filter by version-control status
If your organization uses file version control, you can filter files by checkout activity and current status.
Checked-out date
Use the Checked Out date range to return files checked out during a selected period.
User checked out
Use User Checked Out to return files checked out by a specific user.
Version-control options
Additional options may include:
- Files under version control
- Files not under version control
- Files currently checked out
- Files currently checked in
Group and sort the report
Use the Group By and sorting options to organize the results by one or more columns.
You can group records into sections, sort them in ascending or descending order, and add multiple levels of grouping or sorting.
For example, you could group files by project and then sort them by updated date.

Choose the report columns
Use the column selection options to control which file fields appear in the report. You can add, remove, and rearrange columns based on the information you need to review.

Download files from the report
After running the report, use the selection column to choose the files you want to download.
- Select the checkbox next to each file you want to download.
- To select every file currently shown in the report, right-click the selection column and choose Check All.
- Right-click the selection column or select its column header.
- Choose the download action for the selected files.
Project Insight will display a confirmation that a download link will be sent to you by email. Use the link in that email to download the selected files.
Run and refine the report
After selecting your filters and columns, click Run Report. You can return to the report options, change the filters, and run it again until the results show the files you need.
Frequently asked questions
Can I download multiple files at once?
Yes. Select the files in the report and use the selection-column menu to request a bulk download. Project Insight will email you a download link.
Can I find files uploaded by a specific person?
Yes. Use the Created By filter to return files added by a selected user.
Can I report on checked-out files?
Yes. Use the version-control filters to return files that are currently checked out, checked in, under version control, or not under version control.
Can I limit the report to a specific folder?
Yes. Use the Parent Item filter and choose whether to include child folders or items.
