Rate Cards (formerly known as Contracts) in Project Insight let you manage reporting and billing values for a single customer using multiple rate cards. Rate cards can also manage work rate values based on the resource types or roles assigned to project tasks.
Best for
- Teams that need multiple billing or burden rates for the same customer
- Organizations that bill differently by role or resource type (such as Engineer vs Project Manager)
- Project reporting where rates must be consistent across time entries
What is a rate card in Project Insight?
A rate card is a set of default rate values (Rate and Billable Rate) that can be used on projects or tasks. You can also set more specific rate assignments within a rate card based on resource type or role.
How to add a rate card to a company
- Go to Companies add-on.
- Select the Company you want to add a rate card to.
- Select Add New Rate Card.
Then you will see the rate card screen where you can create and configure the new rate card.
Rate card fields and what they mean
After adding your description, you will be able to configure the following:
Description: A free-form text field where you can capture additional rate card details.
Effective Date: The date the rate card begins being valid. This is informational only. The rate card remains active until you make it inactive.
Rate: The default burden rate for time entries on a project or task for this rate card. This default rate is superseded by any rate assignment based on a resource type or role within this rate card.
Billable Rate: The default billable rate for time entries on a project or task for this rate card. This default rate is superseded by any rate assignment based on a resource type or role within this rate card.
Active: Active rate cards can be added to projects or tasks, and only active rate cards appear in report filters.
Where rate cards are used
- Projects and tasks: Apply an active rate card to control default time entry rates.
- Time entries: Time uses the rate card defaults unless a resource type or role rate assignment overrides them.
- Reports: Only active rate cards appear in filters.
Common mistakes
- Expecting the Effective Date to turn the rate card on or off automatically: Effective Date is informational only. Use the Active setting to control availability.
- Forgetting that role-based rates override defaults: If you set specific rate assignments by resource type or role, those override the default Rate and Billable Rate.
- Marking a rate card inactive too early: Inactive rate cards cannot be added to projects or tasks and will not appear in report filters.
